Creating an OVI General Contracting Proposal

Overview

This guide is designed for project managers at OVI General Contracting who are responsible for creating budget proposals for clients. The proposal is a crucial document that outlines the scope of work, costs, and terms for potential projects.

Prerequisites

Before starting the proposal, ensure you have:

  • Project number
  • Project name
  • Project address
  • Client name
  • Date of proposal

Proposal Structure

Your proposal should include the following sections:

  1. Header
  2. Scope of Work
  3. Detailed Breakdown of Services
  4. Budget Proposal Total
  5. Alternate Proposals
  6. Exclusions
  7. Material Orders and Submittals
  8. Contract Documents
  9. Letter of Intent Information
  10. Signature and Contact Information
  11. General Specifications
  12. Supplementary General Conditions (Addendum A)

Step-by-Step Guide

1. Write the Header

Include the following information at the top of the document:

  • OVI General Contracting logo
  • Idaho License number (RCE-66400)
  • Project number
  • Project name
  • Project address
  • Date (include any revision numbers if applicable)

2. Define the Scope of Work

Write a brief paragraph explaining:

  • What OVI General Contracting is proposing (e.g., a 'Budget' to complete interior building renovation)
  • The basis for the budget (e.g., site visits and owner comments)
  • The purpose of the budget (e.g., to be tracked as scope adjusts throughout the project)

3. Detail the Breakdown of Services

For each service category (e.g., Demolition, Rough Carpentry, Plumbing), provide:

  • A subtotal cost
  • Numbered list of specific tasks included in that category
  • Be as detailed as possible, including quantities where applicable

Example Breakdown

Plumbing: $10,854.00
1. Remove existing drinking fountain from old space and relocate to new space.
2. Modify plumbing and re-install drinking fountain noted above. Some plumbing modifications will be required to accommodate the new unit (1 EA)
3. Disconnect, relocate and reconnect existing dishwashing unit from old space (1 EA)
4. Includes Plumbing Permit (Estimated fees are subject to change)

4. Calculate and State the Budget Proposal Total

Sum up all the individual service costs and present the total. Include:

  • The total amount
  • A note about the validity period (e.g., "Good for 30 days from date above")
  • A disclaimer about material cost fluctuations

5. List Alternate Proposals

Include any alternative options or additions that the client might consider. For each:

  • Provide a brief description
  • State whether it's an addition or deduction to the base price
  • Include the cost difference

6. Specify Exclusions

Clearly list what is NOT included in the proposal to avoid misunderstandings later.

7. Outline Material Orders and Submittals Process

Explain the conditions under which orders will be placed and the client's responsibilities regarding material storage.

8. Address Contract Documents

Include a statement about how the proposal relates to the final contract agreement.

9. Provide Letter of Intent Information

Include a space for the client to acknowledge the proposal conditions, with fields for:

  • Company name
  • Representative name
  • Title
  • Date

10. Add Signature and Contact Information

Include your name, title, company name, email, and phone number.

11. Include General Specifications

Add any general terms or conditions that apply to all proposals.

12. Attach Supplementary General Conditions

Create an "Addendum A" with additional terms and conditions specific to OVI General Contracting.

Final Steps

  1. Review and Proofread

    • Carefully review the entire document for accuracy, clarity, and completeness.
  2. Format and Polish

    • Ensure the document is well-formatted, easy to read, and professionally presented.

Important Reminder

This proposal represents OVI General Contracting to potential clients. It should be comprehensive, clear, and professional. Always be prepared to explain any part of the proposal to the client and be open to revisions based on their feedback.
